Privacy Policy
We build software that reads a company's business records, drafts routine work, and leaves the decision to a person. This page says what we read, what we do with it, and how to stop.
Who we are
deoLabs is the trade name of DeoLabs LLC, a limited liability company formed in Washington. Mailing address: 124 55th Ave E, Fife, WA 98424. Questions about this policy go to support@deolabs.dev.
The website
deolabs.dev is a static site. It has no accounts, no sign-up and no tracking scripts. It does not set cookies. It is served through Cloudflare, which keeps standard server logs (IP address, requested page, browser type) to run and protect the service. We do not combine these logs with anything else.
If you email us, we keep the email for as long as we need it to reply and follow up.
The Superior Contents Assistant app
The app is built for one company, Superior Contents, and is used only by its staff and by us as their contractor. It helps the office prepare invoices and the emails that go with them. To do that, it reads from systems the company already uses, with access the company's own administrator grants:
| System | What the app reads | What the app writes |
|---|---|---|
| QuickBooks Online | Customers, items and rates, existing invoices and their status | Draft invoices, created unsent |
| Monday.com | Customer and job records | Status notes on the same records |
| Microsoft 365 | The billing spreadsheet in Excel | Email drafts in the staff member's Outlook drafts folder |
The app never sends anything on its own. Every invoice and every email is a draft until a person at the company reviews it and sends it.
How we use AI
The app uses a language model from OpenAI, through its commercial API, for two things only: to write the cover text of an email, and to flag cases that look unusual (for example a rate that changed or a missing email address). Amounts, rates and totals are calculated by ordinary code from the company's records, never by the model.
We send the model only what it needs for the text: the customer's name, the billing period, the amounts and the invoice number. We never send bank or card details, passwords or access tokens.
Zero data retention is enabled on our OpenAI project, so OpenAI does not store the requests. Under OpenAI's API terms, data sent through the API is not used to train their models. We do not train, fine-tune or build any model on this data either.
What we do not do
- We do not sell data.
- We do not share it with anyone other than the company it belongs to, the providers listed on this page, and us as the company's contractor.
- We do not use it for advertising or for building profiles.
- We do not use it to train AI models.
Where data is kept
The app runs on Cloudflare. It keeps the access tokens the company granted (encrypted), a log of what it did and when, and the draft text it produced. The company's records stay in QuickBooks, Monday and Microsoft 365; the app reads them when it runs and does not keep its own copy.
Disconnecting and deleting
The company's administrator can disconnect any system at any time in two ways: by revoking the app's access inside that system (for QuickBooks, under Apps in the company's Intuit account, which brings the administrator to our confirmation page), or by emailing support@deolabs.dev and asking us to disconnect it. In both cases the app deletes the access tokens for that system immediately and stops reading from it.
To have the app's logs and drafts deleted as well, email support@deolabs.dev. We delete them within 30 days and confirm by email.
Changes
If we change this policy, we update the date at the top and, for changes that matter, tell the company by email before they take effect.
